Double bookings, time zones and exceptions
A well-designed workflow accounts for what goes wrong when it goes wrong: two customers trying to book the same slot at once, a customer in a different time zone, or an appointment cancelled at the last minute. That requires clear rules about who takes priority, how time zones are converted, and what happens to a cancelled slot.
Rescheduling and cancelling are handled within the workflow itself: the calendar is updated and the customer receives a new confirmation, so no duplicate or outdated appointments remain.
Configuring an existing booking system versus custom workflow building
Not every situation needs a brand-new workflow. If you already use a booking system, such as a calendar plugin or a separate tool, we first check whether it can be better configured and connected to your CRM and email. Only when an existing system doesn't fit your process, or specific logic is needed (for example different appointment types with their own rules), do we build a custom workflow in n8n or Make.com.
Integrations and messaging channels
Appointment automation typically connects your website, calendar (for example Google Calendar), email and optionally your CRM. Reminders are usually sent by email; other channels are only used where there is consent and a suitable integration available.

Does this replace my current booking system?
Not necessarily. If you already use a booking system, we first look at whether it can be better configured or connected to your calendar, CRM and email. We only build a custom workflow if no suitable system exists, or your situation needs specific logic a standard tool can't handle.
Will this guarantee fewer no-shows?
We can't guarantee a specific percentage, that depends on your industry and customers. Automatic confirmations and reminders help reduce no-shows because customers are less likely to forget an appointment, but we don't promise a specific outcome.
How are changes and cancellations handled?
The workflow accounts for rescheduling and cancelling: when something changes, the calendar is updated and the customer receives a new confirmation, instead of the old and new appointment both remaining on the calendar.
