The Manuless Design Standard

The Manuless Design Standard is not a certification. It is a transparent set of eleven design principles that Manuless applies to every engagement. They are not optional: a workflow that does not meet these standards will not be delivered.

Privacy by Design Privacy protection is not an afterthought but a design choice. Every workflow starts with the question: which data are strictly necessary?

Security by Design Security is built in, not added afterwards. It starts with the architecture, not with an extra security layer on top of a poor design.

Data Minimisation Every step in a workflow receives only the data that step actually needs. Nothing more.

AI with Human Oversight AI actions are used where they add value. For decisions that affect people, a human review step is always built in.

Vendor-neutral Where Possible We advise the platform that fits the situation, not the platform we work with most. The client is the one who suffers from vendor lock-in.

Client Remains Owner The workflow, the accounts, the API keys and the data belong to the client. After delivery, the client can operate completely independently without any dependency on Manuless.

No Hardcoded Credentials Passwords, API keys and tokens are never stored in the workflow code. Everything is delivered as a placeholder. The client fills in their own credentials.

Temporary Access Manuless requests only the access needed for the agreed work, for the shortest possible duration. After delivery, the client revokes the access.

Fully Transferable End Product The delivered workflow is importable, adjustable and readable. No black box that only Manuless can maintain.

Documentation Included Every workflow is delivered with a written manual and an instruction video (Loom). The client knows what has been built and how it works.

Sector Regulations as a Design Parameter Workflows take into account the relevant obligations in the client's sector, from Wwft checks for real estate agents to privacy requirements for medical practices. Sector legislation is not a side note; it is a design parameter.

Workflows are designed with attention to the principles of Privacy by Design, data minimisation and the requirements of the GDPR and the EU AI Act. Actual compliance also depends on the configuration, use and organisational measures of the client.

Section 2

How a project unfolds

A Manuless project follows six recognisable steps. Each step has a clear input, output and decision point. You always know where you stand.

Intake call

One video call of 30 to 45 minutes. We listen to your processes, pain points and systems. You receive a structured summary afterwards for confirmation. That is the foundation for everything that follows.

Analysis & tool advice

Based on the intake, we analyse your existing tech stack. We advise on which platform fits best (n8n, Make.com or a combination) and which tools you may still need. Includes an initial GDPR review of the data flows.

Process design

We write a clear process design document: what we will build, how it works step by step, which systems are involved and what the privacy considerations are. You approve this before a single workflow is built. Upon approval, Manuless invoices the first instalment (50%).

Build & test

We build the workflow in accordance with the approved process design. We test it thoroughly, including error scenarios and edge cases, before delivering anything. You are kept informed of progress throughout.

Delivery & handover

The workflow is implemented in your own environment. You receive a written manual and an instruction video. After delivery, Manuless invoices the second instalment (50%). From that point you can operate fully independently. You hold the keys, we do not.

Optional: retainer

Would you like ongoing maintenance, further development or a steady partner for new automation questions? Manuless offers a tailored retainer contract. This is never mandatory. The choice is yours.

Section 3

Sector-specific approach

Generic automation ignores the reality of your sector. A real estate agent has different obligations than a physiotherapist. Manuless works with sector-specific knowledge packages that are applied per engagement.

This means relevant laws and regulations are part of the design, not something you have to figure out afterwards on your own.

Real Estate Wwft (anti-money laundering), cooling-off periods, energy labels, Land Registry transfer, resolutive conditions. Automation supports the process without bypassing legally binding steps.

Accountancy Wwft obligations, statutory record-keeping requirements, client identification. Workflows account for mandatory human review of unusual transactions.

Medical & Healthcare Special categories of personal data (health data) require additional protection. Workflows are designed with strict data minimisation and clear legal bases for processing.

Working in a different sector? No problem, we adapt our approach accordingly. The principles remain the same; sector knowledge is built up per engagement.

Section 4

Ownership and handover

After full payment you are the owner of the workflow. Completely. That means:

The workflow runs in your own n8n or Make.com environment, not on a Manuless server.
All API keys, accounts and credentials belong to you. Manuless has no permanent access to them.
You can modify, extend or have the workflow maintained by another party without Manuless's permission.
You are not dependent on Manuless for the workflow to function. The manual and instruction video give you everything you need.

The temporary access Manuless holds during the project is revoked by you after delivery. We actively remind you of this at handover.

No lock-in: A Manuless workflow is importable as a standard JSON configuration. Any n8n or Make.com user can open, read and modify the file. There is no proprietary format, no special access code and no Manuless subscription required to run the workflow.

Section 5

What Manuless does not do

Transparency about what we do not deliver is just as important as describing what we do.

No legal advice. We design workflows with attention to laws and regulations, but we are not a lawyer or compliance adviser. For legal questions we refer you to the appropriate specialist.
No permanent hosting or management. Manuless delivers a finished product, not an ongoing service. Maintenance and management are your responsibility, or part of a separate retainer contract.
No fully autonomous AI decisions. We do not build systems that make legally binding decisions without human oversight, assess individuals based on profiles, or process sensitive data without the explicit approval of the person concerned.
No storage of your client data. Manuless has no access to the data that flows through your workflow. We see the structure, not the content.
No guarantees on external services. We build on platforms such as n8n, Make.com and HubSpot. If these services change or go down, that falls outside our responsibility.
